Notion adds offline mode for apps, addressing top user demand
Notion has launched offline mode for its desktop and mobile apps, allowing users to view, edit, and create notes without an internet connection.
The company said in a post announcing the update that offline mode is one of the most requested features from users.
Users can now download pages for offline access, with changes syncing automatically once reconnected.
Some features, such as embeds, forms, and buttons, still require an internet connection.
Subscribers to Notion’s Plus, Business, or Enterprise plans will see their recently viewed and favorite pages downloaded automatically, but this can be managed or turned off in the new “Offline” menu.
CEO Ivan Zhao said the delay in releasing offline support was due to technical challenges in handling document changes made by multiple users while offline.

🧠 Food for thought
1️⃣ Cloud-first architecture creates technical debt that’s expensive to fix
Notion’s five-year delay in adding offline functionality demonstrates how early architectural decisions can become major technical obstacles.
CEO Ivan Zhao explained that Notion’s complex database system for storing different content blocks required building an entirely new conflict resolution mechanism to handle multiple users editing documents while offline1.
This reflects broader industry challenges with cloud-first applications, where adding offline capabilities often requires fundamental architectural changes rather than simple feature additions.
The complexity becomes evident in Notion’s current limitations. Certain interactive elements like embeds, forms, and buttons still won’t work offline, showing that even after years of development, full offline parity remains challenging1.
This technical debt forced Notion to essentially build two different data management systems: one optimized for cloud collaboration and another for local storage and synchronization.
2️⃣ Missing offline functionality created sustained competitive pressure
Notion’s offline limitation became a significant competitive weakness, with entire articles written specifically about alternatives offering offline capabilities.
